asambeauty has been a leading German cosmetics manufacturer since 1963, operating its own production facilities in Germany. Over the decades, the company has built a strong reputation for high-quality beauty products and innovation, backed by more than 1,400 proprietary formulations and multiple active-ingredient patents.

Today, asambeauty operates as a nationally and internationally active multi-channel organization with a portfolio of more than 1,000 products. Its distribution strategy spans retail, teleshopping, and a multi-channel eCommerce ecosystem, including its own online shop, requiring consistent, accurate, and scalable product information across every customer touchpoint.

The Challenge: From Fragmented Files to a Unified Beauty Ecosystem

Before implementing Akeneo, asambeauty managed product information across a fragmented landscape of Word documents, Excel spreadsheets, PowerPoint files, and email-based workflows. Product data was decentralized and difficult to govern, making it challenging to maintain consistent quality and ensure that teams across the organization were working from the latest information.

The reliance on manual coordination processes created significant operational inefficiencies. Sharing and updating product information often required extensive email communication and cross-departmental meetings, increasing the risk of version conflicts, duplicated work, and outdated information being distributed internally or externally.

The decentralized structure also created vulnerabilities during personnel changes, when product information was not always fully updated, archived, or transferred correctly. Without centralized governance and standardized workflows, knowledge management depended heavily on informal collaboration and internal networking between departments.

At the same time, asambeauty was preparing for the relaunch of its online shop, making the implementation timeline particularly demanding. The organization needed to design and configure a new PIM tailored to its business requirements while simultaneously integrating upstream and downstream systems, migrating product data, redefining core product processes, and training users across the business.

Introducing a parent-child product structure further required a complete redesign of product creation, enrichment, and lifecycle management workflows. The transformation demanded a significant operational and organizational shift.

To support its digital transformation goals, asambeauty implemented Akeneo PIM and Shared Catalogs as the foundation of a centralized and scalable product information ecosystem. Rather than serving solely as a data repository, Akeneo became the strategic engine powering the company’s digital expansion and omnichannel growth initiatives.

The implementation connected the newly relaunched online shop to Akeneo through seven API integrations, enabling consistent and reliable product information flows across systems and customer touchpoints. Akeneo was established as the company-wide single source of truth, centralizing product information management for all teams and channels.

To ensure scalability and governance, asambeauty implemented 111 validation rules and 17 structured workflows that now guide enrichment, approval, lifecycle management, and publication processes. These governance mechanisms provide the structural foundation necessary to maintain high-quality product information despite the complexity of the organization’s operations and the large number of active users.

The adoption achieved across the business has been particularly significant. With 164 active users, Akeneo became deeply embedded into the company’s daily operations and cross-functional collaboration processes. Teams throughout the organization now operate within a standardized, process-driven environment that supports greater transparency, efficiency, and alignment across omnichannel operations.
